Replacing an industrial HMI is rarely a simple screen swap. A panel may look similar and still fail because the cutout, resolution, communication interface, firmware family, or application project does not match the installed control system. For a maintenance team, the quickest quotation is usually the one supported by the clearest evidence.

This guide explains the compatibility checks to complete before sending an HMI replacement inquiry. It is written for industrial automation spare-part sourcing, maintenance planning, and project teams that need a model review before a quotation.

1. Start with the complete model reference

Record the full nameplate reference, including suffixes, hardware revision, voltage variant, communication option, and any panel or keypad designation. A shortened family name is useful for orientation, but it is not enough to confirm a replacement. Photograph the front, rear label, connectors, and the installed panel if the unit is still accessible.

Do not rely on a product photograph alone. Two panels in the same family may use different power inputs, firmware branches, port arrangements, or mounting dimensions. The exact reference gives the supplier a starting point for checking the installed system context.

2. Check display size, resolution, and panel cutout

Screen diagonal is only one part of the mechanical check. Confirm the active display area, aspect ratio, outer dimensions, mounting depth, and panel cutout. A replacement with a larger or wider screen may require an adapter plate or cabinet modification even when the electrical function appears similar.

Manufacturer migration documents commonly compare predecessor and successor devices using both display resolution and physical dimensions. 3. Verify communication and control-system compatibility

Identify how the HMI communicates with the controller and other devices. Record whether the installation uses Ethernet, PROFINET, Modbus TCP, serial RS-232/RS-485, Remote I/O, or another protocol. Note the connector type and whether the terminal has one or more network ports.

The replacement must be checked against the controller family, driver support, addressing method, and project software. An HMI with Ethernet may not replace a serial terminal without changes to the network or protocol arrangement. Likewise, a terminal with a similar screen may not support the installed PLC driver or the required data exchange method.

4. Confirm firmware and application-project constraints

Capture the current firmware version and the engineering software used to create or maintain the HMI project. Also record whether the project files, runtime package, fonts, recipes, alarms, user permissions, and communication drivers are available.

Firmware compatibility is a practical replacement boundary. Rockwell Automation release notes, for example, identify terminal series and firmware requirements for specific PanelView product lines. Schneider Electric also documents cases where box and display modules are not interchangeable because of firmware incompatibilities. These examples show why a replacement review should include the device revision and software environment, not only the model family.

5. Check environmental and installation requirements

Before requesting a quotation, record the enclosure rating, operating temperature, front-panel protection, vibration exposure, sunlight or washdown conditions, and available cabinet depth. A panel used in a harsh or outdoor environment may require a specific coated or protected variant.

Also verify the power supply, grounding arrangement, terminal wiring, and whether the existing mounting hardware can be reused. If the replacement requires rewiring or a new adapter, the inquiry should identify that requirement clearly so the quotation can be evaluated fairly.

6. Prepare an evidence-based RFQ

A useful HMI replacement inquiry should include:

  • full model and all visible suffixes;
  • clear nameplate, front, rear, and cabinet photographs;
  • screen size, resolution, cutout and mounting measurements;
  • controller model, communication protocol, connector type and port count;
  • firmware version and available project software or backup;
  • quantity, destination country and required delivery window;
  • whether the request is for a direct replacement, compatible alternative, or technical comparison.

7. What to send when the model is uncertain

If the nameplate is damaged or incomplete, send the clearest available photographs and explain where the unit is installed. Include the cabinet position, connected controller, visible connectors, and the function of the machine. A photo-based review can help narrow the reference, but final compatibility still depends on confirmation of the technical details and application context.
